How it works

Four phases. About five weeks to live.

Discovery, build, launch, optimize. Below is what happens inside each one, what we need from your club, and what you actually see while it is being built. Roughly four hours of your time before launch, and thirty minutes a week after it.

Weeks 1 to 2

Discovery

Your market, your building, your calendar and your baseline, then the first live pull.

Weeks 2 to 6

Build

CRM, pages, creative, sequences, AI response, audiences and attribution, in your name.

Week 5 onward

Launch and optimize

Every channel live together, then a season of inspecting, retiring and scaling.

The four phases

What actually happens, week by week.

Build overlaps discovery, so the calendar reads shorter than the list of work. Nothing below is optional and nothing below is a separate invoice.

01
Weeks 1 to 2

Discovery

We learn your market, your building, your calendar and your baseline, then run the first pull against your real market and build the plan on top of what it finds.

What we do

  • A 60 minute session with leadership: prices, promo nights, what sold last year and what did not
  • First market pull through the Hive Audience Engine, powered by Nectar, against your metro
  • A read of your ticket page, your shop and the path a fan takes from ad to seat
  • A look at the other things to do in your town on a Friday, and what they charge
  • Your ticket baseline written down, game type by game type, so there is something to measure against
  • The plan, with the assumptions under it stated in plain language

What we need from you

  • One hour of leadership time
  • Brand assets: logo, colours, photography
  • Read only access to your ticketing platform
  • Last season's sales data
  • Your home game calendar and any promo nights already booked

What you seeThe records from the first pull: households in your market who showed live event interest this week, and local businesses showing advertising and sponsorship intent. Plus the baseline and the plan, both in writing, before anything is built.

02
Weeks 2 to 6

Build

The machine gets assembled in your name. Build starts while discovery is still running, which is why launch lands before the build window closes.

What we do

  • A CRM built for your club, with pipeline stages that match how you actually sell
  • Landing pages for single games, season seats, group nights and merchandise
  • Ad creative, email and SMS sequences written game by game, not one campaign for the season
  • An AI responder trained on your pricing, your schedule and your voice, plus the voice agent for the phone
  • Audience build on both sides: households and local businesses
  • Ticketing integration and conversion tracking, so every order can be traced back
  • Your dashboard, wired to your own spend, orders and CRM

What we need from you

  • About three hours in total, spread across the weeks
  • Access to ad accounts, or an approval for us to open them in your name
  • A ticketing webhook or API key for attribution
  • Approvals on creative and messaging before anything runs

What you seeEvery asset comes to you for approval before it goes live, and the dashboard is standing with your own baseline in it before the first ad runs, not after.

03
Week 5

Launch

Every channel goes live together and in sequence. The AI answers from minute one, and the first optimization sprint runs on the early signal rather than waiting for a monthly review.

What we do

  • Ads, email, SMS, phone and sponsor outreach launched as one sequence
  • Every enquiry answered in seconds, day or night, in your club's voice
  • Hot leads routed to your person with the context attached, the rest nurtured automatically
  • Daily reads on what is converting, with spend moved toward it inside the first week
  • Deliverability watched on every sending domain and number

What we need from you

  • A named point of contact for hot lead handoffs, five to ten minutes a day
  • Approval on any material change to spend
  • A heads up when the schedule moves

What you seeLeads landing in your CRM as they arrive, and the morning email: tickets sold, spend, and which campaign did it, readable in ninety seconds by you and by your owners.

04
Ongoing

Optimize

The season is the product. Every week the system is inspected, the losers are retired, the winners are scaled and the audiences are rebuilt on current behaviour.

What we do

  • A weekly performance report and a weekly call
  • New creative and copy angles every two weeks, with both the winners and the losers shown
  • Who we target reviewed monthly against what actually converted
  • Audiences refreshed continuously, not built once in onboarding
  • A monthly strategy call and a quarterly review your owners can sit in on
  • Off season work: renewals, win backs and merchandise, so the machine does not idle between seasons

What we need from you

  • Thirty minutes a week for the review call
  • A heads up on schedule changes, promos and news

What you seeThe same dashboard, every morning, plus a weekly report that says what we did, what it sold and what we are changing next week, including the weeks we missed our own standard.

One point of contact

What one person to call means on a Tuesday.

Most clubs already pay somebody for a piece of this. An outbound vendor sends the emails, an agency runs the ads, and nobody owns the number at the end. Here is what the day to day looks like instead.

01

One named lead, not a queue

You get a person on our side who knows your calendar, your prices and your building. Same person on the weekly call, same person when something breaks on a game day, same person your owners meet.

02

A reply inside one business day

That is the standard we hold ourselves to and report against. If we miss it, it appears in the weekly report rather than quietly not appearing.

03

Five to ten minutes of your day

You handle the handful of hot leads that want a human. Everything else, the answering, the chasing, the routing and the logging, happens without you in it.

04

Everything behind one name

Ads, email, SMS, the phone agent, the CRM, sponsor outreach and the dashboard all sit behind your lead. You are never the one chasing four suppliers to find out who dropped something.

A weekly reporting call, a monthly strategy call and a quarterly review with your owners. Between those, one inbox and one phone number, answered by the person who knows your season.

What lands, and when

The rhythm you can set a calendar by.

WhenWhat arrivesWhat it is for
Every morningThe dashboard email: tickets sold, spend, leads, and what needs a decisionNinety seconds, readable by you and by your owners
Every weekThe performance report and a call with your named leadWhat we did, what it sold, what changes next week
Every two weeksNew creative and copy angles, with the retired ones shownSo you can see what stopped working, not just what started
Every monthA strategy call and a review of who we are targetingTargeting follows what converted, not what we assumed in week one
Every quarterA business review built for ownershipThe season in one document, with the assumptions still visible

Every number in those reports traces back to the ad, the email, the text or the call that produced it. Walk up sales and anything we cannot trace are reported as untraced rather than counted as ours.

FAQ

Questions about the process.

How long until we are live?

Roughly five weeks from kickoff. Discovery runs weeks one and two, build runs weeks two to six, and because the two overlap, launch usually lands around week five. Optimization then runs for the rest of the season.

Can we start mid season?

Yes, and most clubs do. We sequence the fastest channels first so the games already on the calendar are being sold while the rest of the build finishes behind it. Nothing about the build pauses your season.

Do we have to change our ticketing platform?

No. We integrate with what you already use, including Ticketmaster, AudienceView, FEVO, Showpass, Eventbrite or a custom setup. Nothing gets ripped out. We wire tracking into it so orders can be traced back to the campaign that produced them.

How is this different from hiring an agency?

An agency sells hours and creative for one channel. This is one system: the audience, the campaigns, the AI response, the CRM and the attribution running together, with a named lead accountable for tickets sold rather than impressions delivered. It also gets sharper every week instead of restarting with each engagement.

What do you actually need from us?

Up front: brand assets, read only ticketing access, last season's sales data and your game calendar. After launch: five to ten minutes a day for hot lead handoffs and about thirty minutes a week for the review call.

Who do we talk to day to day?

One named lead on our side, with the team behind them. Weekly reporting call, monthly strategy call, quarterly review, and a reply inside one business day in between.

What happens if we ever want to leave?

You take everything. The CRM, the ad accounts, the audience lists, the landing pages and every contact are yours from day one. We hand over admin access and documentation. No export fee and no lock in.
